Welcome to Oatlands Pool Ltd. We guarantee to provide safe, quality swimming lessons that build confidence and ability, using qualified swimming instructors at all times. It is important that all members of Oatlands Pool Ltd agree and adhere to our Terms & Conditions and Code of Conduct, as set out below:

Customer Terms & Conditions

Enrolment Conditions

  • Full Payment is required with the enrolment/re-enrolment form. A place cannot be confirmed until full payment has been made.
  • Payments can be made by

    • Debit Card Payments; please contact us on 07548706525 to make payment over the phone (please note we DO NOT ACCEPT CREDIT CARDS).
  • Places are allocated on a first come first served basis.  Demand is high so prompt registration is essential.
  • Late payments will incur an addition £10 fee.
  • All parents and swimmers must agree and adhere to the Oatlands Pool Ltd Terms & Conditions, Code of Conduct and complete the google registration form to say they understand and agree to them.
  • By booking or attending Oatlands Pool Ltd you confirm that you understand and accept these terms and conditions and that they will form part of the contract between us.
  • Lessons are non-transferable and non-refundable.
  • Non-attended lessons are forfeited and are non-refundable.
  • Refunds/credits are not given even if your child refuses to get into the water or if you change your mind. Refunds will also not be given if the pool remains open and you have to isolate or quarantine due to Covid-19.
  • In exceptional circumstances if a refund is processed, at the owner’s discretion, a £10 administration fee will apply.
  • Holidays – If you wish to take a holiday during the term, you will still be charged for the full term. You will of course retain your place on the course for that term.
  • Lessons will only commence each term subject to numbers and Oatlands Pool Ltd reserves the right to cancel or amend the timetable at its discretion.

Re-enrolment

  • Swimmers already having lessons with Oatlands Pool Ltd will have priority on places provided they re-book and pay on time.
  • If we do not receive payment by the due date, as advertised, then you will have lost that place.
  • If you have a change request, please write this on your re-enrolment form and return, we will contact you with possible spaces once all re-enrolments are in. All other places are booked on a first come, first served basis.  Oatlands Pool Ltd will endeavour to be flexible with its allocation of time slots. However, it may not always be possible to book or re-book your first choice. The group that the child is placed in will be at the instructor’s professional judgement.

Waiting List

  • Only siblings of those already in swimming lessons with Oatlands will be held on a waiting list for the following term.
  • All other spaces will be advertised online via our Facebook and Instagram pages.

Beach ready

  • All children over 4 years who are attending lessons without a parent entering the pool with them are required to arrive ‘beach ready’.  Changing rooms may be used after their lesson has finished and showers are available for use also.
  • All adults entering the pool (either for adult lessons or baby and preschool classes) may use the changing rooms before and after their lesson.

Medical

  • On signing our Terms & Conditions, you accept responsibility that, should you answer ‘yes’ regarding any medical conditions, you’ve confirmed swimming lessons are appropriate with your doctor before beginning lessons. This responsibility is passed to and accepted by any parent or carer who might bring your child swimming.  Medical conditions must be disclosed to Oatlands Pool Ltd regarding the health of you, your child or those you have placed your child in care with for the purpose of attending swimming sessions. All information received is treated in complete confidence and with sensitivity.
  • If your child has a heavy cold, sinusitis or an ear infection we recommend they do not swim. Refunds are not given for missed lessons due to sickness.
  • If you, your child or anyone in your family are showing symptoms of Covid-19 you must not attend lessons. Refunds are not given for missed lessons.
  • Following on from sickness we request your child be clear of any symptoms for 48 hours prior to attendance at a lesson.
  • Adults and children must not swim if they have had a diarrhoeal illness in the past 14 days, as advised by the NHS.
  • In the case of a swimmer who has broken a limb, requires an operation or has been given a medical reason why they cannot attend the remaining lessons, we will consider transferring the lessons to the next term, or offering extra lessons if we can accommodate them. This is subject to a doctor’s note being received. Only the number of weeks remaining from the term will be held and carried over and the weeks cannot be backdated for missed lessons.

Staff

  • All Instructors are qualified, insured and experienced swimming teachers and hold the relevant ASA / STA certificate(s).
  • We pride ourselves on our high Instructor to swimmer ratio, ensuring your child will receive above average attention.
  • As some physical contact with your child is unavoidable all staff adhere to Child Protection Procedures and are Access NI Checked.
  • Oatlands Pool Ltd reserves the right to replace advertised coaches or programmes where unavoidable.
  • If an instructor is unwell or cannot attend a session, Oatlands Pool Ltd will endeavour to provide a cover teacher.
  • Oatlands Pool Ltd will ensure that all teachers either hold or are working towards a pool rescue certificate and attend on-going professional development.

Pool closure

  • Pool closures happen on rare occasions, making it necessary to cancel lessons. If this should occur we will endeavour to contact all parents.
  • If the pool is closed due to a fault on our part that is within our control or on the pool’s part, such as pool plant failure, water heating, chemical or quality problems, we will offer an alternative lesson time.  If we cannot fit in another lesson then a deduction of the cost of one lesson from your next enrolment will be offered.
  • For pool maintenance closure for which advanced notice is given, you will be advised in your enrolment letter and cost of lesson deducted from that term’s fee.

Lost Property

  • Oatlands Pool Ltd does not accept responsibility for any damage or loss of property left on the premises (whether being worn or left in the pool/changing rooms) or within the grounds/car park of the premises.

Parking

  • Our pool is on private property and may have farm machinery and farm buildings close by.  Please make sure you are parked in the allocated parking spaces only. Please do not park on any grassed areas.  Parents/guardians must supervise children at all times inside and outside the pool building and parking areas.

Responsibility

  • All users of the private pool are to make themselves familiar with the pool rules.
  • Parents/guardians are responsible for their children at all times in the changing area, entrance area and viewing gallery/marquee. Children should always be under the direct supervision of an adult who is not taking part in the lesson and never be left unattended.
  • Children running on wet surfaces can very easily slip and hurt themselves.
  • Children are not Oatlands Pool Ltd’s responsibility until the instructor takes them.
  • Parents should remain in the pool building/cabin when their child/ren is/are swimming.
  • In the absence of any proven negligence, lack of due diligence or breach of duty by the instructor(s) or Oatlands Pool Ltd, the participation of you, your spouse/partner, child or those in whose care you have placed your child for the purpose of attending or observing Oatlands Pool Ltd sessions is done so entirely at your and their own risk.
  • Any incident must be reported to Oatlands Pool Ltd immediately.
  • Oatlands Pool Ltd shall not be held responsible for any personal injury or fatality that may occur.
  • Responsibility for all applications of swimming practised outside of the Oatlands classes both now and in the future is borne by you and not Oatlands Pool Ltd.

Photography

  • Please note that due to child protection regulations photography (including camera phones) and video filming are NOT permitted during Oatlands Pool Ltd lessons or photo sessions arranged by Oatlands Pool Ltd.
  • Official photoshoots are offered by Oatlands Pool Ltd throughout the year for which we obtain signed consent. Oatlands Pool Ltd reserves the right to use our over/underwater photographs for publicity purposes. However, in each instance we will endeavour to inform you first.
  • All Oatlands Pool Ltd photography, logos and illustrations are the copyright of Oatlands Pool Ltd (or credited party). Any scanning or reproduction of any of the above without our written agreement will be regarded as being in breach of our copyright and dealt with accordingly.
  • Oatlands Pool Ltd cannot be held liable for the actions of third parties and, therefore, excludes to the fullest extent possible by law, any liability arising from a breach of this section headed “Photography” by any party.

Code of Conduct

Swimmers

  • Swimmers should not eat for at least 1 hour prior to swimming.
  • Please arrive for the teaching session on time.
  • As a general rule of thumb, do not enter the pool area prior to your lesson start time.
  • Whilst you are waiting for your class, please keep poolside noise down to a minimum so that all lessons can take place in a calm and peaceful atmosphere.
  • Only enter the pool (water) once your instructor has invited you to do so.
  • Listen to what your instructor tells you. If you don’t understand, please ask.
  • The following action is seen as disorderly behaviour: running, diving, jumping, ducking, fighting, bombing, shouting and throwing items. If you are warned and this behaviour persists you will be asked to leave.
  • Do not ‘dangle’ babies into the water at the side of the pool, you may be asked to leave the pool area and not continue your session if this occurs.
  • Swimming goggles, including those with ophthalmic prescription lenses, may be worn at the wearers own risk.
  • To avoid injury the wearing of spectacles in the water by a swimmer during a session is not recommended. Care of spectacles is the responsibility of the parent/guardian.
  • Jewellery, including earrings, can be a hazard and should not be worn during swimming.
  • Appropriate swimwear should be worn at all times in the swimming pool and communal changing areas, this includes all swimmers wearing swimming caps.
  • During lessons parents/guardians must not interrupt or communicate with the teacher, distract the pupils or approach the poolside, unless it is a matter of health and safety, as you may endanger the safety of the pupils and other pool users.
  • Please ensure long hair is tied up.

Pool Safety

  • In the event of any emergency the person in charge will follow the pool’s emergency action plan (EAP).
  • All swimmers and spectators will immediately stop what they are doing and wait quietly for further instructions.
  • Should it be necessary to clear the pool, when the instruction is given, all swimmers will move to the sides of the pool, leave the water and stand back from the side.
  • Should it be necessary to evacuate all spectators, instructors and swimmers from the building no attempt should be made to recover possessions from the changing rooms or anywhere else within the building.

In the interests of hygiene

  • Do not take any food or drink into the changing rooms.
  • Please leave all buggies outside, not in the changing rooms.
  • All babies, until they are potty trained, must wear double protection nappies in the pool consisting of a disposable swim nappy underneath a leakproof re-usable swim nappy or baby wrap. Oatlands Pool Ltd reserves the right to refuse admission to the swimming pool without the appropriate swimwear.
  • Babies and toddlers are prone to all sorts of mishaps. Our double nappy system is pretty fail-safe, but should anyone’s lunch decide to make a reappearance, please tell your teacher immediately. High quality leakproof re-useable nappies available to purchase via Oatlands Pool Ltd.
  • Used or soiled nappies should be double bagged and put in the bins provided.
  • Always change your baby using a suitable changing mat. Please take extreme care when using a changing station and never leave a baby unattended as to prevent babies from rolling onto the floor from high surfaces, which can easily happen and is extremely distressing for all concerned.

Health & Safety Regulations

To ensure that we are able to deliver our lessons in a safe manner would ask that you respect & comply, at all times with the following:

  • Please arrive in good time – group and 1:1 lessons cannot over-run.
  • Please ensure you have informed Oatlands Pool Ltd of any medical condition your child may have.
  • No parents are allowed at poolside.
  • Parents are not permitted to leave the Oatlands Pool Ltd premises at any time during the lesson – NO EXCEPTIONS CAN BE MADE.
  • If a parent is in the pool for a lesson with a baby or pre-school child another responsible adult must attend to look after any other children who are not in a swimming lesson.
  • All under 4s must have an adult in the lesson with them (twins require an adult each).
  • When a child turns 4 they must finish their current block of 10 lessons before they move to an unassisted class.
  • Pupils are the responsibility of parents while they are not in the pool.
  • Please respect the building and facilities provided and clear away any cups and rubbish into the bins provided in the viewing gallery/marquee.

Ability levels/badges & certificates

Oatlands Pool Ltd follows the Swimming Teachers Association badge and awards scheme comprising the following ability levels.

We have children starting with Oatlands Pool Ltd coming from a variety of different swim schools where standards and qualifications received may not always be comparable, we have arranged classes into ability based on any information given to us by parents.

Your acceptance of our Terms & Conditions

Thank you for your enrolment and we appreciate your acceptance of these terms & conditions which are designed to ensure we can offer you are best service in the future.

Your enrolment and payment of course fees into our programme of swimming lessons is our confirmation that you have accepted the terms and conditions set out above.

GDPR

The member consents to Oatlands Pool Ltd processing any personal data they provide as a result of enrolment/re-enrolment.  Data will not be sent to any third party.

Changes to Terms and Conditions / Code of Conduct

From time to time Oatlands Pool Ltd may update these terms by sending you either an updated version or notification of minor changes.
